For companies that provide services to different organisations, keeping documentation organised internally is only one part of the process. For this reason, multi-platform document management requires constant coordination. For each new job, the companies, workers and equipment involved must also meet the client’s document requirements for that location.
In this project, AISP uses a central document management platform to keep all documentation for our client and its contractors up to date. As a result, this platform serves as the document base for the operation. Whenever the client reports new jobs and locations, the team identifies the parties involved. It then manages their documentation on the various platforms used by our client’s customers.
The project at a glance
| Document base | Central platform with up-to-date documentation for the client and its contractors |
| Scope | Companies, workers, equipment, jobs and locations |
| External platforms | Platforms used by the different customers where the work takes place |
| AISP’s involvement | Preparation, submission, follow-up, and handling of notifications, rejections and corrections |
| Objective | Ensure that the resources needed for each job meet the applicable document requirements |
| Impact | Greater control, less fragmentation and centralised management of multiple document processes |
The challenge of multi-platform document management
The main challenge in this project comes from two levels of document management that must work together.
On the one hand, the documentation for our client and its contractors must always be up to date on a central platform. On the other hand, the same documentation must also work on each customer’s platform, where the jobs take place.
In addition, each customer may use a different platform, with its own requirements, submission processes and validation criteria. The documentation required may also vary depending on the location, the job, the company, the worker or the equipment involved.
This means a worker may be compliant on the central platform, yet still need extra documents for a given customer. The same can also apply to a company or a piece of equipment.
Complexity grows further when there are several jobs at once, different platforms and many notifications, rejections or information requests to follow up.
The solution
The central platform acts as the document source for the operation. This is where the AISP team keeps information on our client and its contractors organised and up to date.
When the client reports a new job, the team identifies the location, the companies involved, the planned workers and the equipment required. From there, the team gathers the relevant documentation on the central platform and prepares the process required by the end customer.
Next, the team submits that documentation on the customer’s platform.
However, the process does not end once the documents are uploaded. The team monitors document statuses, reviews notifications and handles the responses received. Whenever there is a rejection or an additional request, the team interprets the reason and identifies the correction needed. It then obtains new information where applicable and resubmits.
In practice, the cycle runs continuously:
central platform → job → companies, workers and equipment → customer platform → validation → follow-up → correction → compliance
AISP’s role
In this project, AISP does more than administer a document management platform. In fact, the team bridges a central document base and the various systems used by our client’s customers.
This work requires technical knowledge, platform expertise, the ability to interpret documents and strong operational organisation.
Our document managers must track several jobs and validation statuses at the same time. They also need to understand the reasons for rejections, control expiry dates, manage notifications and know whom to ask for each correction or additional information.
It is also necessary to understand the operational impact of each outstanding issue. For example, a rejection linked to a worker or piece of equipment scheduled for an imminent job can directly affect whether the work goes ahead.
That is why this service goes far beyond simply submitting documents. It is genuine document coordination across different organisations, platforms and requirements.
The impact of multi-platform document management
For the client, this model means a single, organised and up-to-date document base. There is no need to replicate in-house the complexity of managing several external platforms.
In this way, AISP uses that central information to prepare the different document processes, follow their validation and deal with issues as they arise.
The result is a more controlled operation with less scattered information. It can also handle different customers, jobs and platforms at the same time.
When a new job comes in, the team does not start searching for documentation from scratch. Instead, it starts from a base that is already structured and up to date.
From there, the AISP team makes sure that information reaches each platform correctly. It then follows each process and steps in whenever a document issue is outstanding.
This case study shows how a central platform can act as a single source of truth. Meanwhile, a specialist team ensures that this documentation is used across multiple external contexts.
One central document base. Several customers. Multiple platforms. One coordinated operation.
More than 20 years turning document management into an operational advantage.
