HSE document management for oil & gas and chemicals: every worker validated before mobilisation

Companies, workers and equipment with their documentation validated before entering a refinery, chemical complex or offshore installation. AISP defines the requirements, validates the documents and follows up outstanding items until work begins.

The problem

In oil & gas, one missing document stops the work

Operations combine high risks with long, international contractor chains. Documentation has to be validated before mobilisation, not after.

01

High-risk work without proof of competence

Confined spaces, hot work and ATEX zones require proven competencies. Without prior validation, the risk comes onto the installation with the worker.

02

Permits based on outdated information

Every permit to work depends on knowing who will carry out the task. When teams rotate, the information is no longer right.

03

Lost seats on board

Offshore transport and accommodation are scarce. An invalid document discovered at boarding costs the seat and delays the campaign.

04

Certificates in many languages and formats

Contractors come from several countries. Comparing foreign certificates with the operator’s requirements takes time and leads to inconsistent criteria.

The AISP solution

The same installation. Documentation sorted before work starts.

We treat company, worker and equipment documentation as part of preparing the operation, not as a last-minute check.

Before
With AISP
Documents checked in a rush the day before the shutdown
Planned validation before mobilisation, with outstanding items followed up
Permits issued without confirming the worker's documentation
The permit only proceeds with valid competencies and fitness
Technicians stopped at boarding because of invalid documents
Boarding list with compliant technicians only
Foreign certificates assessed with different criteria
The same criteria for every company, in any language
Expiry dates discovered once the document has already lapsed
Alerts before critical certifications expire

How it works

How AISP works in oil & gas and chemicals

From analysing the installation to day-to-day operation, the AISP Methodology organises each phase. Technology provides features; the methodology turns them into results.

1

Diagnosis with the AISP Methodology

We analyse installations, critical tasks and contractor chains. We apply the methodology we have refined over more than 20 years of document management.

2

Requirements by role, task and installation

A welder in an ATEX zone and an inspection technician don’t need the same documents. We define what each must provide.

3

Implementation and configuration

We configure the digital platform and link requirements to permits to work and equipment.

4

Contractor onboarding

Each company receives the requirements for its role and uploads documents in the original language. Training is remote, multilingual and free for all users.

5

Document validation

AI reads and classifies the documents; the AISP team confirms each one. Rejections come with the reason, so they can be corrected quickly.

6

Day-to-day operation

Expiry alerts, outstanding items followed up until mobilisation and document status available for permits and access control.

What's included

The AISP services that matter most on a high-risk installation

We choose with each operator the services the operation needs, from document validation to the technician who arrives prepared.

Glartek platform: our most recent technology partnership
Permits to work, inspections, audits, incidents and contractor management on the same platform.
Works on the phone and offline, an advantage on remote installations. AISP implements it and makes sure it works.

Contractor pre-qualification

Companies, workers and equipment approved before entering the installation.

Document validation

A specialist team, supported by AI, also validates foreign certificates.

Digital inductions

The installation induction done on the technician’s phone, in their language, before arrival.

PVC ID cards

Printed at AISP’s head office and sent to the contractor company, with no minimum quantities.

RFID for equipment

Each piece of equipment identified and linked to its certification, inspections and calibrations.

Access control integration

Approval status is sent to the installation’s entry gates.

Data protection

Technicians' data stays where it belongs

Information remains on the digital platforms the operator subscribes to, in the data centres where the technology partners run them. AISP does not host documents on its own systems: it only accesses what is needed for validation. That access is personal data processing, carried out under the terms agreed with each client and the GDPR.

  • ✓The same validation criteria for every company, from any country
  • ✓Rejections recorded with the reason
  • ✓Administration from Portugal, with implementation anywhere in the world
  • ✓Technical support with free training for all users

Frequently asked questions

What operations and HSE managers ask us

Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.

Which documents do you control in an oil & gas operation?

Three levels. Company: tax and social security compliance, insurance, risk assessments and qualifications. Worker: ID, medical fitness, safety training and induction. Equipment: ATEX zone certification, inspections and calibrations.

How are documents linked to permits to work?

Each worker is linked to the competencies and fitness the task requires. When the permit is requested, the platform checks the documentation; if a requirement is missing, the permit does not proceed.

How do you validate certificates from foreign contractors?

Contractors upload certificates in the original language. AI extracts the key data and the AISP team confirms equivalence with the operator's requirements, applying the same criteria to everyone.

Does the platform control equipment for ATEX zones?

Yes. It can require the certification appropriate to the zone of operation and the applicable inspections and calibrations. Alerts warn before expiry, so the HSE team knows which equipment can enter each area.

Can AISP take over validation for a shutdown or offshore campaign?

Yes. We validate documents against the operator's requirements, communicate rejections with the reason and follow up outstanding items until mobilisation. The service scales to the volume, without reinforcing the internal team.

Do contractor technicians receive training?

Yes. Training is 100% remote, multilingual and free for all users of the platforms AISP implements, including contractor staff.
