HSE document management for logistics and ports: hauliers validated before they arrive
We validate the documentation of hauliers, drivers, operators and equipment before they enter a terminal, port or logistics centre. We link expiry control to access control, so the gatehouse knows straight away who can enter.

The problem
Where documentation holds up logistics operations
In a terminal or logistics centre, the operation never stops. When documentation isn’t validated, the problem shows up at the gatehouse or on the dock.
Occasional drivers
Drivers arrive with no history at the site. Nobody knows if they meet the requirements until they’re at the gate.
Queues at the gatehouse
Documentation is checked on arrival. Trucks wait and the gatehouse is under pressure.
Handling equipment
Forklifts and lifting equipment require qualified operators, maintenance and periodic inspections. The proof is rarely to hand.
Continuous operation and mixed traffic
Pedestrians, vehicles and machines share the space, on shifts that include nights. An expired document goes unnoticed.
The AISP solution
The same gatehouse. Decisions made before the truck arrives.
The haulier does the paperwork before arrival. At the gatehouse, all that’s left is to confirm identity and authorisation.
How it works
From methodology to the gatehouse, every day
We apply the AISP Methodology to each terminal, port or logistics centre. Requirements follow the site’s zones and activities.
Diagnosis with the AISP Methodology
We map the site’s zones, activities, entry flows and handling equipment.
Requirements by zone and activity
We define what is required of the company, the driver or operator and the vehicle or equipment.
Implementation and integrations
We configure the digital platform and connect it, where planned, to the gatehouse, scheduling or ERP systems.
Haulier pre-registration
The haulier uploads documentation before arrival and drivers complete the digital induction.
Validation and approval
Our team approves or rejects each document and communicates the reason. The service keeps up with seasonal peaks.
Day-to-day operation
The gatehouse checks the compliance status. We control expiry dates, and an expired document blocks access.
What's included
The AISP services logistics needs
We choose with each client the services that take pressure off the gatehouse. All linked to the same compliance status.
It brings together contractor management, inspections, audits, incidents and permits to work, on the phone and even offline.
Haulier pre-qualification
Companies, drivers, operators and vehicles validated before they enter the site.
Digital safety inductions
Link by email, SMS or WhatsApp, with no registration, for the driver to complete before arriving.
PVC ID cards
Printed at AISP’s head office and sent to the haulier of each approved worker.
Access control integration
Approval status reaches the site’s gates and turnstiles.
RFID for equipment
Identification of forklifts and other handling equipment.
Technical support with free training
Remote, multilingual training for all users, including hauliers.
Data protection
Drivers' data stays on the client's platform
Information remains on the digital platforms the client subscribes to, in the data centres where the technology partners run them. AISP does not host documents on its own systems: it only accesses what is needed for validation. That access is personal data processing, carried out under the terms agreed with each client and the GDPR.
- ✓No copies of documents outside the platform
- ✓Access limited to what each validation requires
- ✓Rejections communicated with the reason
- ✓Digital evidence of every induction: participant, date and result

Frequently asked questions
What operations and HSE directors ask
Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.
What is HSE document management in logistics?
It is the control of the documentation of hauliers, drivers, operators and equipment entering a terminal, port or warehouse. It includes requirements by zone and activity, validation, expiry control and the link to access control.
How do we avoid queues of drivers at the gatehouse?
With pre-registration: the haulier submits documents before arrival and drivers complete the digital induction in advance. At the gatehouse, all that's left is to confirm identity and authorisation.
Does the platform control forklift operators and equipment?
Yes. Each operator is linked to the required training and medical fitness, and each piece of equipment to its inspections. An alert is raised before a requirement expires.
Can it be integrated with our gatehouse system?
Yes, through APIs. Compliance status can be shared with gatehouse, turnstile, load scheduling or ERP systems, with no parallel lists.
Can AISP validate hauliers' documents?
Yes. Our team validates against each site's requirements and communicates rejections with the reason. The service scales to seasonal peaks.
What about drivers who don't speak the local language?
The digital induction is done in the worker's language, on their own phone. Platform training is remote and multilingual.
