HSE document management for construction: the whole subcontracting chain compliant before going on site

We validate companies, workers and equipment before they enter the site, down to the last tier of subcontracting. With requirements by project and a team that validates every day.

The problem

Why the site escapes document control

Many companies, many tiers and little time. Without a process, gaps only show up during site visits.

01

Long subcontracting chains

Second and third tier subcontractors come on site. Often nobody even knows who hired them.

02

Worker turnover

Teams come and go throughout the project. Every new arrival needs new documents and every expiry date has to be tracked.

03

Different requirements for each project

Each project, client and activity asks for different documents. The same companies send everything again.

04

Deadlines that squeeze compliance

With the project under pressure, incomplete documentation gets accepted. Hired equipment arrives without inspections.

The AISP solution

From paper in the site cabin to compliance before entry

The subcontracting chain becomes visible and every document is validated. Gaps are no longer found only during site visits.

Before
With AISP
Subcontractors with no visible link to whoever hired them
Each subcontractor linked to the company that hired it, with the full chain visible
The same documents requested on every project
Documents uploaded once and reused, with each project's requirements on top
Documents rejected without explanation
Rejections returned with the reason, with the site manager tracking progress
Gaps discovered during site visits
Compliance checked before entry: credential only once everything is validated
Expired medical fitness certificates on site
Automatic removal from the gatehouse list when a document expires

How it works

How AISP works on your projects

From the AISP Methodology to day-to-day operation. A specialist team supports each project, including peak periods.

1

AISP Methodology

We start with a diagnosis of your projects, activities and subcontracting chains, following the phases of the AISP Methodology.

2

Requirements by project

We configure the documents required by project, activity and type of company.

3

Registering the chain

The hiring company registers each subcontractor on the platform. The relationship between companies becomes visible.

4

Document validation

The AISP team reviews each document and returns rejected ones with the reason, including at peak times.

5

Site entry

Once the documentation is compliant, the worker receives the digital induction and the credential.

6

Day-to-day operation

We track expiry dates, new projects and new requirements. If a document expires, the worker is removed from the gatehouse list.

  • ✓AISP does not host documents on its own systems: it only accesses what is necessary
  • ✓Reason recorded for every rejection

Frequently asked questions

What site and HSE managers ask

Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.

Does the platform replace the safety coordinator?

No. The role stays with whoever holds it, as defined by applicable law (in Portugal, Decree-Law no. 273/2003). The platform gives them up-to-date information, alerts and history, and frees up time for the field.

How do we control second and third tier subcontractors?

Each subcontractor is linked to the company that hired it and receives the project's requirements. The main contractor and safety coordination see the whole chain.

Can we use the same platform across several projects?

Yes. Each company's documentation is uploaded once and reused, with each project's requirements applied on top. The client gets a consolidated view.

Does AISP validate subcontractors' documents?

Yes. We review documents against each project's requirements, communicate rejections with the reason and track expiry dates. The team scales to the workload.

Which documents are required?

Company, worker and equipment documents. The specific requirements depend on the project, the client and the planned activities.

What about hired equipment?

It is also validated before entry: declarations of conformity, inspection reports, for example for cranes, insurance and inspections.
