Integrations and automation

Integrating and automating HSE platforms with the systems you already use

We connect HSE and document management platforms to your HR, ERP, access control and other systems. Information flows to the systems that need it, without being entered twice.

The problem

When systems don't talk, teams become the bridge

People, equipment, maintenance, safety, documentation and access often live in different systems. Without a link between them, work is repeated and confidence in the information falls.

01

The same data, entered several times

The employee created in HR is registered again on the HSE platform. Every re-entry is another chance for error.

02

Parallel files and reconciliations

Exported lists, spreadsheets and manual cross-checks become part of the process. Nobody knows for sure which version is correct.

03

Approval that never reaches the gate

The worker is compliant on the platform, but access control doesn’t know it. The check ends up being done by hand, on site.

04

An API that, on its own, doesn't solve it

Having an API available doesn’t guarantee a workable integration. Without analysing data, permissions and rules, the project drags on or creates new risks.

The AISP solution

The right information, in the right system, at the right time

An integration only makes sense if it meets a concrete need. We start with the process and only then choose the technology.

Before
With AISP
Data re-entered in every system
Data reused from the defined source
Lists and parallel files
Information flowing between systems, in real time, periodically or in batches
Approval status checked by hand at the gate
Approval status sent to access control
Deadlines, approvals and tasks managed by email
Workflows with notifications, statuses and automatic tasks
Integration delivered and forgotten
Support after launch and adjustments when systems change

How it works

From need to integration in production

AISP runs the process from start to finish. We work with your IT teams and with the suppliers of each system.

1

Process analysis

We identify what needs to flow, the source and target of the data, the rules, the owners and the exceptions.

2

Functional design

We define the events that trigger communication, the data needed and the expected behaviour in each scenario.

3

Technical coordination

We work with IT teams and suppliers to gather requirements and analyse the available APIs.

4

Testing and validation

We test the scenarios before production. We confirm the information is transmitted and interpreted correctly.

5

Launch

The integration goes into production with the defined update frequency: real time, periodic, event-driven or batch.

6

Follow up

After launch, we adjust the integration when systems, API versions or processes change.

What's included

The systems we can connect

What is possible depends on the technical capabilities of each application. We analyse each case before proposing a solution.

Real time isn't always needed
Real time, periodic, event-driven or batch.
The right frequency is the one the process requires.

Human resources

Employee data synchronised with HSE or document platforms.

ERP

Companies, suppliers and projects feeding the document processes.

Access control

Document or approval status as a condition for entry.

Identity systems

Users and profiles synchronised with corporate systems.

Maintenance and BI

Equipment and maintenance data linked to HSE processes; structured information for reports and dashboards.

Other platforms and custom applications

Synchronisation between HSE or document platforms and with internal systems, where technically possible.

Data protection

Automating without weakening controls

Each integration is reviewed for authentication, permissions, access profiles and transmitted data, in line with the client’s IT policies. Information stays in the source and target systems: AISP does not host documents on its own systems. AISP’s access to the information is personal data processing, carried out under the terms agreed with each client and the GDPR.

  • ✓Only the data each integration needs
  • ✓Permissions and access profiles defined with your IT teams
  • ✓Traceability of what is transmitted between systems
  • ✓Human oversight kept for critical decisions, including when artificial intelligence is used

Frequently asked questions

What IT and operations teams ask us

Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.

If the system has an API, is integration guaranteed?

No. The API is a starting point. Data, permissions, security, update frequency and behaviour in each scenario all need to be analysed.

Does integration have to be in real time?

Not always. It can be real time, periodic, triggered by an event or in batches, depending on the operational need and the technical capabilities of the systems.

Can we automate without integrating platforms?

Yes. Within the platform itself, workflows allow deadline notifications, status changes, task creation and approval routing.

Can approval status control entry to the premises?

Yes. The platforms we implement already communicate with companies' access control hardware, such as entry gates: approval status becomes one of the entry rules.

What role does artificial intelligence play?

It is already in use for reading and classifying documents, and for extracting and structuring their information. Human intervention remains for critical decisions.

Who does the technical work?

AISP analyses the process, designs how it works and coordinates with your IT teams and with the suppliers of each system. We test before production and support you after launch.

What information is your team still entering twice?

Show us the systems you use and where information gets stuck. We’ll work out with you what makes sense to integrate or automate, and what doesn’t.
