RFID for equipment: each asset's documentation one scan away

We link every machine, tool or piece of safety equipment to its record on the document management platform. In the field, scanning the RFID or NFC tag shows the document status, certificates and expiry dates.

The problem

Why equipment documentation never reaches the field

The certificates exist, but they’re far from the people using the equipment. When an expiry date needs checking, the search begins.

01

Manual search on the platform

To confirm an inspection, someone has to look up the equipment in the system. In the field, that rarely happens in time.

02

Assets that move around

Mobile equipment moves between sites, projects and teams. The documentation doesn’t always follow.

03

Contractors' equipment

Assets from external companies enter the operation with documentation that is hard to check on the spot.

04

Labels that go out of date

When information is printed on the label, every new certificate means replacing it.

The AISP solution

The tag identifies. The platform informs.

The tag works purely as an identifier. Documentation stays on the platform and is updated without touching the equipment.

Before
With AISP
Searching for the equipment manually on the platform
Scan the tag and go straight to the asset's record
Certificates and expiry dates in scattered folders or files
Up-to-date document status, visible in the field
New documentation means changing the label
The tag stays; only the information on the platform changes
Everyone sees everything, or nobody sees anything
Information visible according to each user's role
Contractors' equipment with no document trail
Contractors' assets tracked as part of pre-qualification

How it works

From diagnosis to the tag scanned in the field

We follow the AISP Methodology. The technology is chosen after understanding how the equipment is used.

1

Diagnosis

We identify the equipment, the document requirements and who needs to see what.

2

Technology choice

We choose RFID, NFC or another approach, depending on read range, environment and type of reader.

3

Data structure

We define each asset’s identification, associated documents, expiry dates and possible statuses.

4

Configuration and permissions

We configure the platform and what each profile sees after scanning the tag.

5

Tag pairing and testing

Each tag is linked to its equipment record and tested in real conditions of use.

6

Training and evolution

We train users and support the evolution: new assets, new requirements, new integrations.

What's included

Everything that links the equipment to its record

The service covers analysis, implementation, integration, administration and support. It doesn’t stop at delivering the tags.

One tag, a live record
The documentation changes.
The tag stays.
The status is always current.

Technology choice

RFID or NFC, based on the environment, read range and type of reading.

Asset document structure

Certificates, inspections, periodic checks, technical documentation and expiry dates.

Visible statuses

Up to date, expired, requirement missing, pending or under review.

Access profiles

The operator sees the status; HSE sees the documents; the administrator sees history and configuration.

Tag pairing and testing

Each tag linked to its equipment and validated in the field.

Administration and support

Ongoing record management, with technical support and free training for users.

Data protection

Scanning the tag doesn't open access to everything

Information remains on the platform, in the data centres where the technology partners run it. AISP does not host documents on its own systems and each user sees only what their role requires. AISP’s access to the information is personal data processing, carried out under the terms agreed with each client and the GDPR.

  • ✓The tag only identifies the asset; it stores no documents
  • ✓Visibility defined by profile and role
  • ✓History of each piece of equipment's document status
  • ✓AISP only accesses what its tasks require

Frequently asked questions

What people ask us about RFID for equipment

Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.

RFID or NFC: which should I choose?

It depends on the context. Read range, environment, type of reader and the need for individual or bulk reading determine the choice.

When a certificate is renewed, does the tag need replacing?

No. The tag is only an identifier. Documentation is updated on the platform and the tag stays on the equipment.

Does the tag stop equipment with expired documentation from being used?

Not on its own. The tag identifies the asset and shows its status; a physical lockout requires additional integration, and decisions follow the organisation's internal rules.

Who can see the information after a scan?

Each user sees what their role requires. For example, the operator checks the current status and the HSE manager accesses the documents.

What equipment can be identified?

Work equipment, mobile equipment, safety equipment and contractors' equipment. Any physical asset that needs to be linked to its digital information.

Can it connect to other systems?

Yes, when the systems involved allow it. Integration with pre-qualification, maintenance or BI is assessed case by case.
