HSE platform implementation

HSE platform implementation with the AISP Methodology

We analyse the process, configure the technology, prepare the teams and support the operation. The work doesn’t end at go-live.

The problem

Why so many implementations stall halfway

The problem is rarely the technology. It’s the gap between what the platform allows and how the operation actually works.

01

Configured for the demo

The platform reflects the supplier’s model, not the organisation’s real processes.

02

Old data migrated as it is

Disorganised information moves into the new system and contaminates it from day one.

03

Everything digitised at once

Too many processes at the same time. Users can’t keep up and go back to email and spreadsheets.

04

Alone after go-live

The project closes when real use begins, precisely when adjustments are needed.

The AISP solution

Technology provides features. The AISP methodology turns them into results.

The AISP Methodology was refined over more than 20 years of document management. It connects process, technology and operation.

With AISP
It starts with installing the software
It starts with understanding the operation
Processes copied from the supplier's model
Functional design based on real processes
Migration of everything that exists
Data cleaned, standardised and validated before import
Generic training, the same for everyone
Role-based training on the configured processes
The project ends at go-live

How it works

From diagnosis to continuous evolution

Six key moments in the project. The AISP Methodology breaks them down into 8 phases, applied to every implementation.

1

Operational diagnosis

We understand how the organisation works and choose the priority processes.

2

Functional design

We structure requirements, profiles, workflows and statuses before configuring.

3

Configuration and data

We configure the platform and prepare only the information that should be migrated.

4

Integrations and testing

We connect to other systems and test profiles, permissions, workflows and notifications. With a pilot, whenever appropriate.

5

Training and go-live

We train each profile and closely support the move into production.

6

After go-live

We adjust, simplify and add new processes as real use demands.

What's included

What an AISP implementation includes

A phased implementation: it starts with a limited set of processes and grows with the organisation’s priorities.

After go-live
Go-live is not the end of the project.
It's when real use begins.

Diagnosis and priorities

HSE processes to digitise first, such as inspections, incidents or contractors.

Functional design

Requirements, profiles, forms, workflows and statuses documented.

Configuration

Platform configured to the process, favouring configurable and no-code technologies.

Data preparation

Cleaning, standardising, classifying and migrating useful information.

Role-based training

Administrators, HSE managers, supervisors, teams and contractors.

Ongoing administration

Users, configuration, support and evolution after go-live.

Data protection

The platform changes. The data stays protected.

Data stays in the data centres where the technology partners run the platforms. AISP does not host documents on its own systems: it only accesses what each task requires. That access is personal data processing, carried out under the terms agreed with each client and the GDPR.

  • ✓Profiles and permissions tested before going into production
  • ✓Migration limited to the information needed
  • ✓Administration from Portugal, at the AISP centre in Ílhavo

Frequently asked questions

Questions about implementation

Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.

Does implementation end at go-live?

No. The period after go-live is part of the project. That's when adjustments, additional training and automation opportunities come up.

Do we have to digitise every process at once?

No. We recommend starting with priority processes and expanding in phases.

Do we have to migrate all the old information?

No. We analyse what is worth migrating and clean, standardise and validate it before import.

Can we administer the platform internally?

Yes. You can take over administration or keep AISP's support. The choice depends on the level of autonomy you want.

Which platforms do you implement?

Configurable digital document management and HSE platforms. Glartek is AISP's most recent technology partnership.

Do users receive training?

Yes. In addition to role-based training, technical support includes free training for all users of the platforms we implement.

Planning to implement an HSE platform?

Show us your current processes. We’ll define with you an implementation approach that continues after go-live.
