Administration of HSE and document management platforms after go-live

The problem

Why platforms stop keeping up with the organisation

Go-live is not the end of the project. New users, projects and requirements appear, and the configuration has to keep up.

01

The platform stopped at go-live

The initial configuration was done well. Then new clients, contractors, regions and requirements were never reflected.

02

Requests without an owner

Questions, adjustments and incidents arrive by email to several people. Nobody knows what is pending.

03

Configuring without understanding the process

Rushed changes fix one case and create others. The impact on the process is never validated.

04

Distance from the vendor

The internal team can’t tell a configuration issue from a technical change. Requests to the vendor arrive incomplete.

The AISP solution

Technology evolves. The organisation evolves. The platform keeps up with both.

We administer the solution, support the teams and make the platform evolve. We don’t just implement platforms: we make sure they work.

How it works

From request to validated change

Every request follows the same path. First we understand the need; only then do we configure.

1

Request

The client, an administrator or a user logs the need: question, adjustment, change or incident.

2

Classification

We distinguish between usage questions, configuration issues, change requests and technical incidents.

3

Process analysis

Before configuring, we understand the need and its impact on the client’s process.

4

Configuration or escalation

We solve it on the platform or structure the change request for the vendor or the development team.

5

Validation

We confirm with the client that the change meets the need. We check it doesn’t affect other processes.

6

Communication and training

We inform the users affected. When needed, we run a session on the change.

Data protection

We administer the platform. The data stays where it is.

Information remains on the digital platforms the client subscribes to, in the data centres where the technology partners run them. AISP does not host documents on its own systems: it only accesses what each administration task requires. That access is personal data processing, carried out under the terms agreed with each client and the GDPR.

  • ✓Access only to the information each task requires
  • ✓No documents stored on AISP systems
  • ✓Changes validated with the client before and after they are applied
  • ✓Team based in Portugal, at the AISP centre in Ílhavo

Frequently asked questions

What our clients ask

Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.

What is functional platform administration?

It is the day-to-day management of the configuration: users, permissions, projects, requirements, workflows, forms and notifications. The aim is for the platform to reflect the real process.

What's the difference between administration and technical support?

Technical support answers users' questions and incidents. Administration keeps the configuration aligned with the organisation; the two services complement each other.

What if the change requires development?

We structure the change request and coordinate with the vendor or the development team. This is what we do, for example, with Glartek, our most recent technology partnership.

What service models are available?

Ad hoc support, bank of hours, ongoing support or a dedicated resource. In every case, the client subscribes only to the hours they need per day.

Can AISP also handle the document operation?

Yes. Administration can be combined with document review, management of outstanding items, contractor support and reporting. That way, whoever configures the platform knows how it is used every day.

Where is the team?

We administer the platforms from Portugal, at our centre in Ílhavo. Our clients can be anywhere in the world and in any sector.

Is your platform still keeping up with your organisation?

Show us the platform, the processes and the volume of requests. We’ll propose the right level of administration and support for your operation.
