HSE document management for renewable energy: only compliant people get on site

We validate companies, technicians and equipment before they reach a wind, solar or hydro plant. During construction, in operation and in every maintenance campaign.

The problem

What makes renewable plants different

Remote sites, peaks of work and teams from several countries. Document management has to arrive before the technicians do.

01

Remote plants, no HSE on site

Plants are scattered and rarely have a permanent HSE team. Checks end up being left until arrival.

02

Concentrated campaigns

Dozens of technicians mobilised in a few days. Documents all arrive at once and validation can’t keep up.

03

International subcontractors

Documents in several languages and formats, from companies in several countries. Checking each one takes time and expertise.

04

Short validity periods

Working at height and rescue training expire frequently. A technician can stop being compliant halfway through the campaign.

The AISP solution

From loose documents to a ready access list

Control no longer depends on someone’s memory. It becomes part of the process, plant by plant.

How it works

How AISP works on your plants

From the AISP Methodology to day-to-day operation. A specialist team supports each campaign, from inviting the contractor to the access list.

1

AISP Methodology

We start with a diagnosis of your plants, tasks and contractors, following the phases of the AISP Methodology.

2

Requirements by plant

We configure the documents required from companies, technicians and equipment, by plant and by task.

3

Contractor invitation

Before mobilisation, each company gets access with the rules already defined for that plant.

4

Reading and validation

AI reads dates and issuing bodies. The AISP team approves or rejects each document and records the reason.

5

Preparing for arrival

Digital inductions on the phone and ID cards ready before technicians reach the plant.

6

Day-to-day operation

We track expiry dates, outstanding items and new campaigns. The plant manager sees each technician’s status on a dashboard.

Data protection

Technicians' data stays where it belongs

Documentation remains on the digital platforms, hosted in the technology partners’ data centres. AISP does not host documents on its own systems: it only accesses what is needed for validation. That access is personal data processing, carried out under the terms agreed with each client and the GDPR.

  • ✓AISP does not host contractor documentation on its own systems
  • ✓Access only to the information validation requires
  • ✓Reason recorded for every rejection
  • ✓Each technician's status visible on a dashboard, by plant

Frequently asked questions

What operations and HSE directors ask

Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.

How do you manage foreign subcontractors?

Each subcontractor uploads documents in the original language. AI extracts dates and issuing bodies, and the AISP team confirms whether they meet the plant's requirements before mobilisation.

Can we have different requirements for each plant?

Yes. Requirements can vary by plant, technology, task or client, and are configured without code. The same company can be compliant at one plant and pending at another.

Can AISP take over document validation?

Yes. We validate daily, follow up outstanding items and communicate rejections with the reason. The service can cover the whole process or support your internal team during the busiest campaigns.

Does it work at plants with no permanent HSE team?

Yes. The access decision is prepared before arrival, with access lists, credentials and digital inductions. The manager can check the compliance status of any plant remotely.

What happens if training expires during the campaign?

The system raises an alert and the technician is removed from the access list until the situation is resolved. Nobody has to remember the dates.

Do contractors from other countries get training on the platform?

Yes. Training is remote, multilingual and free for all users of the platforms AISP implements.
