Contractor pre-qualification

Pre-qualification of companies and contractors, before work begins

We confirm whether each contractor meets the legal, documentary, technical, HSE and internal requirements your organisation defines. We validate the content of each document, not just whether the file exists.

The problem

Why pre-qualification holds up the operation

There is no universal list of requirements. Each activity, risk and project asks for different things.

01

Files that prove nothing

A submitted document is not a valid document. Without reviewing the content, compliance is only apparent.

02

Expiry dates that lapse silently

Insurance, certifications and documents expire. The company keeps working as if it were still approved.

03

The same requirements for everyone

Asking an administrative supplier and a construction company for the same things creates delays and useless documents.

04

Contractors who don't know what's missing

Rejections without explanation lead to resubmissions, phone calls and teams waiting at the gate.

The AISP solution

Clear requirements. Rigorous review. Compliance kept under watch.

We structure the process with your organisation and, if you wish, we also handle the document review.

How it works

From contractor registration to ongoing pre-qualification

A structured workflow, configured on your organisation’s digital platform. Rules and criteria are always defined by the client.

1

Registration and classification

The company registers and is linked to activities, categories, projects or risk levels.

2

Assignment of requirements

The platform shows the applicable documents, according to the configured rules.

3

Document submission

The contractor sends the documents through the channel defined by the organisation.

4

Review

The responsible team validates the content and sets the status of each requirement.

5

Resolution

If anything is outstanding, the contractor knows what to update, replace or clarify.

6

Approval and monitoring

Once the requirements are met, the company is approved. Expiry dates and new requirements continue to be monitored.

AISP pre-qualification
It's not enough for the document to be there.

Data protection

Contractor documents stay on the platform

Documents remain in the data centres where the technology partners run the platforms. AISP does not host documents on its own systems: it only accesses what is needed to validate each requirement. That access is personal data processing, carried out under the terms agreed with each client and the GDPR.

  • ✓Documents hosted on the client's digital platform
  • ✓Access limited to what the review strictly requires
  • ✓Pre-qualification criteria defined by the organisation, not by the technology
  • ✓Platform administration from Portugal, at the AISP centre in Ílhavo

Frequently asked questions

Questions about contractor pre-qualification

Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.

Who defines the pre-qualification requirements?

Your organisation. AISP helps structure them by activity, risk and project, but the criteria always belong to the client.

Does approving the company approve its workers?

No. Company, workers, equipment and project each have their own requirements and statuses.

Is pre-qualification permanent?

No. Insurance, certifications and documents expire and requirements can change. That's why we monitor expiry dates and carry out reassessments.

Can AISP carry out the document review for us?

Yes. You can keep only the process implementation, add platform administration or hand us the review and document control.

Do contractors get support?

Yes. The AISP team supports contractors with submitting and correcting documents, on +351 234 040 475, on working days, from 09:00 to 13:00 and 14:00 to 18:00 (Lisbon time).

Does AISP store contractor documents?

No. Documents stay on the digital platform. We only access what is needed to validate each requirement.
