HSE document management for industry: only those who meet the requirements get into the plant

We validate the documentation of contractors, workers and equipment before any work on the industrial site. We control expiry dates and link document status to permits to work and access, with a history ready for audits.

The problem

Where documentation fails in a plant

Risk is concentrated when many external companies come in over a short period. Shutdowns, critical equipment and chemicals don’t wait for paperwork.

01

Shutdowns with short windows

During a maintenance shutdown, many companies arrive within a few days. Slow validation delays the start of work.

02

Equipment coming in and out

Contractors’ equipment changes constantly. Declarations of conformity, periodic inspections and calibrations go unchecked.

03

Chemicals without data sheets

The contractor brings chemicals onto the site. Safety data sheets are missing or out of date.

04

Scattered evidence

Work in confined spaces, hot work or electrical work requires proof of compliance. At audit time, documents are gathered at the last minute.

The AISP solution

The same plant. Contractors validated before they come in.

We define requirements by area and task, validate the documentation and link the result to the work and to access.

Before
With AISP
Requirements sent right before the shutdown
Requirements by area and task, sent to companies weeks in advance
Internal team overloaded at the start of the shutdown
An AISP validation team that scales to the volume of the shutdown
Safety data sheets requested on paper, when someone remembers
List of chemicals and data sheets required from each contractor and checked
Permits to work issued without looking at the documentation
Permits to work that check the contractor's document status
Evidence scattered across emails and folders
History of every document: who submitted it, who validated it, when and with what result

How it works

From methodology to the plant's day-to-day operation

We apply the AISP Methodology to the reality of each site. The platform is configured for your operation, not the other way round.

1

Diagnosis with the AISP Methodology

We map areas, tasks and moments of risk: shutdowns, critical equipment and work with chemicals.

2

Requirements by level

We define what is required of the company, the worker and the equipment, by area and by task.

3

Implementation and configuration

We configure the digital platform with the requirements, the validation workflows and the profiles of each party.

4

Preparation with the companies

Companies receive the requirements in advance and upload their documentation. We follow up outstanding items by company.

5

Validation and approval

Our team approves or rejects each document and communicates the reason for rejection. During shutdowns, we reinforce validation.

6

Day-to-day operation

The gatehouse admits only compliant workers and permits to work check the document status. We control expiry dates.

What's included

The AISP services your plant needs

We choose with each client the services that address the site’s critical moments. All linked to the same document status.

Technology partnership
Glartek platform: our most recent technology partnership

It brings together permits to work, inspections, audits, incidents and contractor management, on the phone and even offline.

Contractor pre-qualification

Companies, workers and equipment validated before working on the site.

Validation during shutdowns

Our team validates documents and scales to the peaks of each shutdown.

Digital safety inductions

Induction and quiz on the worker’s phone, in their language, before entering the plant.

PVC ID cards

Printed at AISP’s head office and sent to the contractor company of each approved worker.

Access control integration

Approval status reaches the site’s entry gates.

Technical support with free training

For all platform users, including contractor companies.

Data protection

Contractor documentation stays on the client's platform

Information remains on the digital platforms the client subscribes to, in the data centres where the technology partners run them. AISP does not host documents on its own systems: it only accesses what is needed for validation. That access is personal data processing, carried out under the terms agreed with each client and the GDPR.

  • ✓No copies of documents outside the platform
  • ✓Access limited to what each validation requires
  • ✓Rejections communicated with the reason
  • ✓Full history for internal and external audits

Frequently asked questions

What operations and HSE directors ask

Can’t find the answer? Talk to us and we’ll show you the process applied to your operation.

What is HSE document management in industry?

It is the control of the documentation of contractors, workers and equipment working on an industrial site. It includes requirements by area and task, validation, expiry control and the link to permits to work and access.

How do we prepare documentation for a maintenance shutdown?

We define the requirements for each task and send them to companies weeks in advance. We follow up outstanding items by company and, at start-up, the gatehouse admits only compliant workers.

Does the platform control safety data sheets?

Yes. Each contractor lists the chemicals it will use and uploads the corresponding data sheets, which the validation team checks. The information is linked to the company and the job.

How does it help with audits?

The platform records who submitted each document, who validated it, when and with what result. Indicators show compliance by contractor and by period.

Can AISP take over validation during shutdowns?

Yes. Our team validates against the defined requirements and communicates rejections with the reason. The service scales to the volume, without having to reinforce the internal team.

Does AISP keep our contractors' documents?

No. Documents stay on the digital platform the client subscribes to. We only access what each validation requires.
