The next generation of document management platforms

Document management is changing, and it can no longer depend on Excel and email.

For many years, the focus was on storing, organising, consulting and controlling documents.

Today, however, that is no longer enough.

In fact, organisations need platforms that can keep up with more complex operations, distributed teams, growing requirements and ever larger volumes of information.

Therefore, document management without Excel and email becomes a necessity. Spreadsheets and scattered messages make control, traceability and access to information harder.

The five pillars of document management without Excel and email

In my view, the next generation of document management rests on five essential pillars:

  • Artificial intelligence, to extract, interpret and structure the information contained in documents
  • No-code, to configure fields, workflows, rules and permissions without relying on development
  • Integration, to connect document management to the systems the organisation already uses
  • Interoperability, so that data and processes flow between platforms
  • Multilingual, to support international organisations, teams and operations

From platform to active management tool

But the evolution is not only about features.

Above all, it lies in how the platform relates to the organisation.

In other words, it stops being a repository and becomes an active management tool.

A tool that turns documents into data.

That automates processes.

In addition, it reduces manual work.

That increases traceability.

That, in turn, improves access to information.

And that keeps pace with the company as it evolves.

This, then, is the vision I consider most relevant for the future of document management: fewer rigid systems, less isolated information and more technology serving operations and decision-making.

The next generation of document management does more than manage documents.

In fact, it helps turn information into efficiency, control and decision-making capability.
