Document compliance: Proof that every requirement is in place before work starts

Document compliance exists when a company, a worker or a piece of equipment has all the documents required for an activity, valid and verified. It is not a one-off moment: it is a status that changes and therefore needs continuous monitoring.

In brief

Document compliance best practices

Insurance policies, medical fitness certificates and requirements change over time and from project to project. The document status must keep up with these changes.

01

Requirements by entity, activity and site

For each company, worker or piece of equipment, it is clear exactly what to submit and where.

02

Validation with objective criteria

Each document goes through validation against defined criteria, and the platform records who validated it.

03

Three clear statuses

Missing, submitted but not yet validated, and valid. Procurement, HSE and the gatehouse know what is missing and who needs to act.

04

Complete history

Audits ask for evidence, not just the current status. The history also shows what was valid on each date.

Frequently asked questions

Frequently asked questions

What is the difference between a submitted document and a valid document?

Nobody has checked a submitted document yet. It only becomes valid after validation against defined criteria, with a record of who validated it.

Which legislation underpins the requirements in Portugal?

Among others, Law no. 102/2009 (Lei n.º 102/2009) on occupational health and safety, and Decree-Law no. 273/2003 (Decreto-Lei n.º 273/2003) for construction sites. The ACT, Portugal's Authority for Working Conditions, provides official information on both.

How do you prove compliance in an audit?

With the complete history of each document: when the contractor submitted it, who validated it and until when it was valid. The current status alone is not enough.
