Storing documents is not the same as managing them. That is what distinguishes a document archive from active document management.
Document archive: Where is the file?
An archive answers the question:
“where is the file?”
What active document management answers
On the other hand, active document management answers far more critical questions:
- Is it valid?
- Does it meet the requirement?
- Does it have approval?
- Does it need updating?
- Does it belong to the right company, worker or equipment?
- Does it serve as evidence in an audit?
- Is it blocking any operation?
From archive to document control
Many companies have an archive.
But they still lack document control.
At AISP-GEDOC, we help companies turn scattered documentation into active, organised and monitored processes that connect to operations.
Because document management does not end when someone stores the document.
It begins when the organisation starts to control that document.
In short, a document archive shows where the file is. Active document management, by contrast, controls the validity, requirements, approvals, updates, associations and operational impact of each document. Therefore, the difference is not whether you have an archive, but whether you know, at every moment, that each document fulfils its role in operations.
