AISP has a new website. However, the new AISP website is much more than a change of image. We rebuilt gedoc.pt to answer the questions organisations ask us before choosing who to work with: what exactly AISP does, how it does it, which sectors it knows and what happens after a platform goes live.
Over more than 20 years, our work has grown far beyond platform implementation. Today we administer platforms, validate documentation and approve contractors. We also provide technical support to users and contractors, print ID cards, ship workwear and PPE kits and digitise safety inductions. However, the previous website did not show this reality clearly enough. We designed the new one to do exactly that.
Why we decided to rebuild the website
Anyone looking for a document management and HSE partner is rarely looking for a stand-alone tool. In fact, they want a way to ensure that companies, workers, machines and equipment only start operating when they are compliant. They also want to achieve this without overloading internal teams or losing control of deadlines.
This person may be an HSE, Procurement, Operations, Compliance or Information Systems manager. In addition, each one arrives at the website with a different question. That is why we reorganised all the content around three simple questions:
- What do you do? AISP’s services, explained one by one, with what is included and how they work.
- How do you work? The AISP Methodology, the responsibilities of each party and the support after go-live.
- Have you done this in a context like mine? The sectors where we have the most experience, our case studies and our international presence.
A structure organised by service
The new document management and HSE services page brings together everything we do in a single starting point. As a result, each service now has its own page, covering the problem it solves, how we solve it, what is included and the most frequent questions:
- HSE platform implementation, from the process assessment through to go-live.
- Administration and specialist support, with document validation, deadline management and ongoing follow-up, contracted for the hours each organisation needs.
- Contractor approval, applying the same criteria to all contractors and subcontractors.
- Multi-platform document management, to distribute and synchronise contractor documentation across each client’s platforms.
- Technical support for users and contractors, in Portuguese, English and Spanish.
- Training and adoption, remote, multilingual and free of charge for all users of the platforms we implement.
- Integrations and automation, to connect the platform to the ERP, HR and access control systems the organisation already uses, following the approach described in technology and integration.
Lesser-known services, now in plain sight
While preparing the new website, we reached a simple conclusion: many clients did not know everything AISP does. Therefore, we created an area dedicated to operational solutions, the services that take work off the hands of teams in the field:
- PVC ID cards, printed at our head office without third parties, sent to the contractor and collected when they expire.
- Workwear and PPE kits, prepared for each approved worker and delivered within 24/48 hours, including outside Portugal.
- RFID for equipment and identification logistics, so that physical identification keeps pace with document compliance.
- Digital safety inductions with GEDOC SafetyGo: a link sent by email, SMS or WhatsApp, with a video and quiz on the worker’s mobile phone, no registration needed and in the worker’s language.
The AISP Methodology explained in eight phases
Technology provides features. However, it is the methodology that turns them into results. On the new AISP Methodology page, we explain the eight phases we follow in every project: understanding the operation, structuring the requirements, designing the solution, configuring and integrating, validating before go-live, preparing the teams, supporting the launch, and administering and evolving.
We also explain what each party does. In other words, the client decides, AISP executes and follows up, and the platform provider delivers the technology. This clarity therefore avoids one of the most common problems in document management projects: nobody knowing exactly who is responsible for each task after go-live.
Experience by sector
The document requirements of a wind farm are not those of a construction site, a factory or a port terminal. For this reason, the new website has dedicated pages for the sectors where we have the most experience:
On each one, we show the typical risks of the sector, the documents that weigh most in daily work and how the AISP Methodology applies to that context. In addition, the case studies complement this information with the methodology applied in real operations.
Knowledge organised by topic
Over the years, we have published hundreds of articles on document management, HSE, contractor approval, data protection and digital transformation. On the new website, we have therefore organised this knowledge into topic pages. Each one brings together the explanation of the topic and the related articles in one place. Document compliance, document validation, expiry date management, access control, safety inductions, artificial intelligence, cybersecurity, GDPR and LGPD are some of the topics available.
In addition, we created two reference resources:
- The document management and HSE glossary, with an A to Z index and search, so that anyone can quickly find the meaning of a technical term.
- The free resources page, with support documents that organisations can use in their own processes.
In the menu, we now split editorial content into Articles, News and Publications, so that each reader finds the type of content they want more quickly.
A new way to request a proposal
One of the new features we like most is the Request a proposal page. Instead of a closed list of options, we ask organisations to tell us, in their own words, where their difficulty lies today and what they would like to see solved.
The reason is simple. After all, the best projects start with a good description of the problem, not with choosing a technology in advance. So we read every request, contact the person to understand the context and only then prepare a proposal tailored to the organisation. Even so, if you prefer to talk directly, you can still use the contact page or call +351 234 040 475.
What changes for clients and contractors
If you already work with us, platform access does not change. Indeed, each client’s access pages remain available on the website, and contractors will still find there the route to the platform where they submit their documentation.
What changes is how easy it is to find answers. For example, a contractor that needs help finds technical support and training in just a few clicks. Similarly, an HSE manager who wants to extend the service to a new operation finds a full description of each service and what it includes. Finally, a Procurement team comparing suppliers finds the methodology, responsibilities and sector experience in one place.
Who we are, in more detail
The About us page now presents AISP’s mission, the way we work, our leadership and the company’s international presence. At the same time, we implement solutions in any country and administer them from our administration centre in Ílhavo. We have applied our methodologies in 14 countries across Europe, Africa, Central Asia and South America.
On the awards page, we bring together the distinctions AISP has received over the years, including the EDP Comercial Sustainability Award, which it won in 2022 and 2023.
The partnership with Glartek
The new website also highlights our most recent technology partnership. The Glartek page explains how we combine a configurable, AI-powered document management and HSE platform with AISP’s methodology, configuration and ongoing operation. In short, Glartek provides the technology, and AISP makes sure it works in the organisation’s day-to-day operations.
More languages for clients in more countries
We work with organisations and contractors in several countries, and the website has to reflect that reality. For this reason, we are preparing English, Spanish and French versions of gedoc.pt, adapted to each market. The English version is the first to become available.
The new AISP website will keep evolving
Just like the platforms we implement, a website is not finished on the day it goes live. Therefore, we will keep adding case studies, articles, resources and new service pages. We will also improve what already exists based on feedback from our clients and partners.
We invite you to explore the new gedoc.pt. If your organisation faces a document management, contractor approval or HSE challenge, tell us what you need or book a presentation with our team. We will then show you how the AISP Methodology applies to your case.
