Documents that expire without warning: The 6 that stop a team at the site gate

Monday, 7:30 am. The team arrives on site, but security will not let them in. Nobody noticed that the occupational accident insurance had ended on Friday. Expiring documents rarely give any warning. That is why we only notice them when the problem is already at the gate.

In fact, a contractor approval can be flawless on day one and fail weeks later. Indeed, all it takes is one expiry date that nobody tracked.

The 6 expiring documents we see most often

  1. Occupational accident insurance: first of all, without a valid policy, the worker cannot enter the site.
  2. Medical fitness certificate: occupational health services issue it at intervals that depend on the law and on the risk of the job.
  3. Training certificates: in fact, many training courses required on site have an expiry date and call for refresher training.
  4. Equipment certificates and inspections: cranes, platforms and lifting equipment require periodic inspections.
  5. Tax and social security clearance certificates: certificates from the Tax Authority and Social Security are only valid for a few months, so they require constant attention.
  6. Public liability insurance: finally, many clients require the policy to remain in force for the entire contract.

In other words, this is not secondary paperwork. Any client audit or inspection by the ACT labour authority can request these documents at any time. Moreover, a single one out of date is enough to stop an entire team.

Renew before the deadline, not after the problem

At AISP, we track every expiry date from the day of approval. As a result, the platform sends an alert 30 days before the deadline and the contractor knows exactly what needs to be renewed. Then our team validates the new document against the client’s requirement, so that the replacement does not open a new gap.

Therefore, managing expiring documents no longer depends on someone’s memory. Instead of Excel sheets and manual checks, you have a clear view of what is about to expire and who needs to act. In this way, those who are fit to work carry on working. Those who are not find out, in time, what they are missing.

A tracked expiry date means a site that keeps running.

Request a demo and see, with your operation’s requirements, which documents expire in the next 30 days.
