Document management for companies
Document management for companies: From document to operational decision
Managing documents is not the same as filing them. Document management for companies means knowing which documents each party must provide, whether they are valid and which decisions depend on them.

The problem
Signs that your document management needs to change
In a large organisation, documentation is no longer an administrative matter. When it fails, it stops sites, delays site access and complicates audits.
Expiry dates in a spreadsheet
Someone updates dates by hand. One forgotten row is enough for an expired document to go unnoticed.
Documents scattered across emails
Each department keeps its own version. No one knows which is correct, or who approved it.
Nobody knows who can work
The question is simple; the answer is not. It takes phone calls, shared folders and cross-checks.
Slow audits
The evidence exists, but it is scattered. Gathering it takes time that should go into operations.
The AISP solution
Active document management, not a digital archive
Scanning does not validate content or control deadlines. Instead, AISP links each document to the requirement behind it and to the decision that depends on it.
How it works
How AISP implements document management for companies
These are the essential steps of the AISP Methodology (8 phases), refined over more than 20 years of document management. The platform adapts to the process, not the other way round.
Map the current process
Which documents exist, who requests them, who validates them and which decisions depend on them.
Define requirements
By entity type, role, activity, risk, site or client, with clear validity rules.
Standardise statuses
What “approved” means, who can approve and with what evidence.
Configure the platform
Configuration tailored to the process, including integrations where they make sense.
Migrate what matters and train
Legacy data cleaned before migration; free, remote, multilingual training on real tasks.
Operate and measure
Document validation, administration and indicators for compliance, validation times and documents about to expire.
What is included
Which documentation you should control
Complete document management covers four types of documentation. Each has its own requirements, expiry dates and owners.
The AISP methodology turns them into results.
Companies
Insurance, certificates and safety plans for each entity.
Workers
Training, medical fitness and safety inductions, by role and location.
Equipment
Certificates and inspections, linked to each piece of equipment.
Internal documentation
Procedures and instructions, under version control.
AI with human validation
AI-assisted document reading and classification, with the team making the final decision.
Link to the field
Approval status sent to access control, such as entry barriers.
Data protection
AISP does not host your documentation on its systems
Documents stay in the data centres where the technology partners run the platforms. AISP only accesses what it needs for its tasks.
- ✓Profile-based access, in line with GDPR
- ✓Retention periods set by your organisation
- ✓A log of views and actions on each document
- ✓Platform administration from Portugal, at the AISP centre in Ílhavo

Frequently asked questions
Questions about document management
Can’t find the answer? Talk to us and we will show you the process applied to your operation.
What is document management?
It is the set of processes, rules and tools for receiving, validating, approving, storing and consulting documents in a controlled way. It also means knowing what each party must provide, whether it is valid and who made decisions based on it.
What is the difference between document management and a digital archive?
An archive stores files. Document management, on the other hand, controls the life cycle: requirements, validation, statuses, expiry dates, approvals, alerts and evidence.
Is scanning documents enough?
No. Scanning does not validate the content, control deadlines or link the document to the operational decision.
What are the benefits for companies with many contractors?
You request only what applies, validate against uniform criteria and anticipate renewals. The result is fewer stoppages, less risk and simpler audits.
How long does implementation take?
It depends on the number of processes, entities and integrations. Starting with a critical process, such as contractor documentation, speeds up go-live.
What role does artificial intelligence play?
We already use AI to read and classify documents. However, people still carry out the final validation.
